How to Manage Your CRM with OHMi Using Claude or ChatGPT

Introduction

Your Oh My Hi CRM is where your contacts, tags, lists and email campaigns live. With OHMi connected, you can ask your AI to look up a contact, organize people with tags, draft your next email campaign, and check how your last one did. This guide covers what OHMi can do in your CRM, some prompts to get you started, and what it leaves for you to do yourself.

📌 The CRM is included with the Plus and Premium plans. If you’re on Starter, OHMi won’t see a CRM on your site.

📌 Before you start: OHMi needs to be connected to your AI tool. If it isn’t yet, follow How to Connect OHMi to Your Claude Account or How to Connect OHMi to Your ChatGPT Account first.

What OHMi Can Do in Your CRM

Find and Update Contacts

  • Look up a contact by name or email and show you their details, tags, lists and notes.
  • Find contacts by tag, by list, or by status (for example, everyone who is subscribed).
  • Count how many contacts match what you’re looking for, like “subscribed contacts tagged VIP.”
  • Add a new contact or update an existing one, such as a new phone number.
  • Add a note to a contact.

Organize With Tags and Lists

  • Show your tags and lists, and how many contacts are on each one.
  • Create a new tag or list, or rename one you already have.
  • Add or remove tags and lists on contacts (this one needs your approval).

Write and Manage Email Campaigns

  • Write a draft campaign email that matches your site’s colors and fonts, and choose which lists or tags it goes to.
  • Make changes to a draft until you’re happy with it.
  • Show you a preview of the email, or send a test copy to your own inbox.
  • Schedule a campaign for later, or send it as soon as you approve it (this one needs your approval).
  • Pause or resume a campaign that’s in the middle of sending, or unschedule one.
  • Make a copy of a past campaign to use as a starting point.
  • Show how a sent campaign did, like opens and clicks.

Check on Automations and Email Series

  • List your automations and email series and show what’s in them.
  • Show who is going through an automation and how many have finished.
  • Add someone to an email series, or take them off (this one needs your approval).

Email One Person

  • Write and send an email to one subscribed contact (this one needs your approval).

Changes That Need Your Approval

Anything that sends email to your contacts, or changes many contacts at once, waits for you. That means:

  • Scheduling or sending a campaign.
  • Adding or removing tags and lists on contacts.
  • Adding someone to an email series, or taking them off.
  • Sending an email to one contact.

When OHMi asks for your approval, it gives you a link. Click it, and you’ll see a page in your dashboard that shows exactly what will change. Nothing happens until you click the approve button on that page. OHMi can’t approve these for you, so if you don’t click, nothing changes.

⚠️ Adding a tag can start an automation, like a welcome series. The approval page is a good place to double-check that’s what you want.

Everything else, like saving a contact, creating a tag, or saving a draft campaign, happens right away. A draft campaign doesn’t send anything until it’s scheduled and approved, and a test email only ever goes to you.

Example Prompts

Copy any of these into a new chat with Claude or ChatGPT, and change the details to fit your business.

Looking Up Contacts

Look up [email protected] in my CRM. What tags is she on, and when did she join?

How many subscribed contacts do I have on my Newsletter list?

Who signed up in the last two weeks?

Updating Contacts

Add Maria Lopez, [email protected], to my CRM and put her on my Newsletter list.

Add a note to Jane’s contact that she prefers texts over calls.

Organizing Your Contacts

Create a tag called “Spring Workshop.”

Tag everyone who filled out my Workshop RSVP form with “Spring Workshop.”

Email Campaigns

Write a draft email campaign announcing my new fall menu, and send it to my Newsletter list. Keep it short and friendly, and use my site’s colors.

Send me a test of that campaign so I can see it in my inbox.

Schedule the campaign for Tuesday at 9am.

How did my last campaign do? How many people opened it and clicked?

Automations and Email Series

What automations do I have, and how many people are in each one?

Add Maria to my Welcome email series.

💡 If OHMi says it can’t see your CRM, your AI may not know about these features yet. Follow “Refresh the Tool List” in Troubleshooting Your OHMi AI Connection, then start a new chat.

What OHMi Can’t Do

A few things are left for you to do in your dashboard, either to keep your contacts safe or because they need a closer look:

  • Delete anything. OHMi can’t delete contacts, tags, lists or campaigns. Ask OHMi and it will tell you where to do it in your dashboard.
  • Resubscribe someone who unsubscribed, or whose emails bounced or were marked as spam. This protects your email reputation.
  • Build or change automations or email series. OHMi can show you what’s in them, but creating them and editing their emails happens in your dashboard.
  • Edit a campaign once it’s scheduled or sent. Only drafts can be changed. OHMi can unschedule a campaign, or copy a sent one to start a new draft.
  • Import a spreadsheet of contacts or merge two tags or lists together.
  • Send a test email to anyone but you. Test emails only go to the person logged in.
  • Approve its own changes. Anything that needs your approval waits for you.

Wrap-Up

You now know what OHMi can do in your CRM, how to ask for it, and which changes wait for your approval. Start with a lookup or a draft campaign to get comfortable.
